What are processes adopted in transcription services?
Voice data files stored in dicta-phones, handheld digital recorder, PDA devices or PC applications sent to us, are decrypted and allocated to our transcribers, who then transcribe the same. In the next step the transcribed files are forwarded to our Editors/Proof readers for review. The work is then evaluated by the Project Manger and the perfect work done to the best of our ability is forwarded to you.

How long will it take for the process to be performed?
Most transcription services will offer a 24-48 turn time. Some services have STAT which can get information back within hours.

Are your medical transcription services HIPAA compliant?
Yes, we have implemented technical and administrative measures to preserve the confidentiality and personal health information of the patients in strict conformity with the HIPAA guidelines.

Can you include time code with your transcripts?
Yes, we can include time code with our transcripts.

How secure are you while dictations are moved from computers to servers and vice versa while using the Internet?
Whatever be the mode of transfer of your dictation, whether phone-in or through digital recorders, our Zyncorp software would enable either a 128 SSL encryption or a 256-bit AES encryption of the data, thus putting to rest, the security risks.

What are the confidentiality measures that you follow?
Confidentiality and security of records is ensured through a combination of encryption technology and established operating procedures.

Do you sub-contract our transcription work?
No, all your transcription requirement is handled in-house at our office so we have a tighter security measure and stringent control over quality.

What will be the turn-around time (TAT) of medical transcription services?
General transcription will be available for your review/printing before 9 AM the following day, which is less than 24 hours turn-around time. Upon specific request, we undertake STAT jobs at a slightly raised price.

What format are the transcribed files?
Reports are returned in Microsoft Word format files, making them editable and searchable.

If there is a problem with the report, who fixes it?
If there is a problem with the accuracy of a report, clients can choose to have us fix it. Since reports are in a standard format, they are editable and some clients choose to modify reports themselves.

How long do you store our dictation and transcripts?
We normally delete the voice files permanently every eight weeks and the transcripts every six months. However, the duration of storage is left to client's specific request.

Who determines if a medical transcription is sufficiently accurate?
The client. If you are not satisfied, regardless of the zyncorp accuracy , then we are not satisfied and we will correct the problem.

Yes, we provide Live Chat support to help you wherever and whenever required.

What are the quality measures you apply?
We hire bright personnel for transcription jobs. Train and sharpen their skills to perfection. Our Proof readers and editors have an ear and eye for detail. Errors seldom miss their attention. And our Quality Controller takes the final responsibility for Total Quality of our transcription service. Each transcription passes through three pairs of sharp ears and microscopic eyes. Usually, a small team is assigned to individual account, to enable minute attention to detail.

How much does the service cost?
Charges are generally based on the Billing Method Principles adopted by the Medical Transcription Industry Alliance-2001. These are on the basis of Turnaround time and per line basis. You will notice that our price package is much more economical to in-house costs or our competitor quotes. We charge you per hour of dictation not per hour of work as most Transcription companies do. This gives you a upfront outlay of your costs.

What do I save by outsourcing transcription services?

Our research indicates that in-house transcriptionist can cost as high as 40cents per line. Our competitors charge up to 17cents per line. Our services can run as low as 8-10 cents per line. This means that you can save anywhere from 25 to 60%.
